Step 8: Meeting Follow‐Up


It is important to build on the momentum generated during each chapter event.


A. Update Website


Update your chapter website with timely post-meeting reports (include pictures if possible). Reports help you communicate chapter activities to local developers and build global awareness for your chapter and community For examples:

Use the Add a Report function in the Chapter Admin to link to your report on the IGDA’s homepage, Chapter Updates page, and monthly Newsletter:

We recommend that chapter webmasters post reports and pics within a week after each meeting.


B. Update Mailing List

Add names and emails collected at the meeting to your chapter mailing list (from sign‐in sheets or business cards). If you receive unsubscribe requests, remove these addresses from your list before your next email blast.


C. Settle Chapter Finances


New chapters are entitled up to US$300 for chapter expenses during their first year, but you will need to file an expense report with the IGDA in a timely manner. Submit a completed check request, receipts, and the appropriate tax form (W‐9 for U.S. residents; W‐8 for non-U.S. residents) to claim your $300 reimbursement. Beyond the initial $300, you are responsible for financing your meetings. Be cost‐conscious whenever possible–we do not want your chapter to be a financial burden for the Organizing Committee. For more tips on financing your chapter successfully, please refer to our Chapter Policies & Procedures Manual.


D. Postmortem


Your Organizing Committee should discuss the event to see what went right, what went wrong, and ideas for improvement. Share your findings with your Advisory Committee, colleagues, and the IGDA (via quarterly check up).


E. Update the IGDA


For your convenience, the IGDA conducts quarterly chapter check-ups, which you may use to keep us updated on any important news, feedback, future plans, or opportunities.
